Form Types - Insert vs Update Forms

FormFlow supports two main form types for different monday.com workflows. Understanding the difference helps you choose the right form type for your needs.

Insert Forms

Purpose: Add new items to your monday.com boards

How it works: External users submit data through the form β†’ New items are automatically created in your board

Default Security: Forms are open and accessible to everyone. You can optionally enable a static password for additional security.

Best for: Lead generation, support tickets, project requests, event registrations, application forms

Update Forms

Purpose: Modify existing board items

How it works: Each item must have its own dedicated form link (required) β†’ Users access the form via the item’s unique link β†’ Selected fields are updated with new data

Default Security: Forms are open and accessible to everyone. Each item must have its own dedicated form link (required) before users can access the form. You can optionally enable per-item passwords stored in monday.com board columns.

Automation: You can automate the generation of both links and passwords using monday.com automations.

Best for: Status updates, profile management, progress tracking, feedback collection, data corrections

Security Options

All security mechanisms are optional. By default, forms are open for all. You can enable security features individually or combine them:

  • Password Protection (Optional): Static password (insert forms) or per-item passwords (update forms)
  • Captcha (Optional): Protect against bots and automated submissions
  • Geographic Restrictions (Optional): Limit access by country
  • Time Limits (Optional): Set start and end dates/times for form availability
  • Response Limits (Optional): Control maximum number of submissions
