Send Confirmation Emails After a monday.com Form Submits
Published on September 20, 2026
A respondent fills out your form, sees a generic “thank you” screen, and closes the tab. A few days later they ask whether it actually went through. An email confirmation solves that: a copy in their inbox, with what they submitted, sent the moment their item lands on your board.
Neither WorkForms nor FormFlow sends that email on its own. Both rely on the same place to build it: monday.com’s automation engine. The setup is nearly identical either way, and the recipe below works whichever app wrote the item.
Quick answer
- Neither WorkForms nor FormFlow has a built-in “send a confirmation email” setting. Both create or update a board item on submission, and the email comes from a board automation layered on top.
- monday.com’s own Send an email automation action requires a connected Gmail or Outlook integration first.
- To reach the respondent specifically, capture their address with an Email field on the form so the automation has somewhere to send it.
- Install FormFlow and pair it with the same automation recipe below.
Why Neither Form Builder Sends Confirmations Natively
FormFlow’s form settings cover the post-submission experience with a Thank You page and an external redirect, documented in settings.mdx, but there is no confirmation-email toggle among them. WorkForms is the same: its native post-submission options are the in-form success message and a redirect URL. Neither product emails the respondent by itself.
What both share is the same underlying mechanism. A WorkForm submission lands on the board as a new item, per monday.com’s own Automate email confirmations for WorkForm submissions article. A FormFlow submission does the same — insert forms create the item, update forms write to an existing one — as 5 Ways to Automate Your Forms with monday.com Automations covers for the “When a form is submitted” trigger. Once the item exists, the automation that emails a confirmation does not care which app created it.
Setting Up the Email Automation
- Make sure the form captures the respondent’s address. Add an Email field (mapped to an Email column) so the automation has a value to send to.
- Connect an email integration. monday.com’s Send an email action needs a Gmail or Outlook account connected to your account first — Outlook specifically requires the connecting user to have a Microsoft 365 license, though nobody else on the account needs one.
- Open the board’s Automations center and create a custom automation.
- Set the trigger. “When an item is created” covers insert forms; “When a form is submitted” also fires for FormFlow update forms, since it triggers on the submission event rather than only on item creation.
- Set the action to Send an email, addressed to the item’s Email column.
- Build the message using column-value placeholders, so the confirmation includes what the respondent actually submitted rather than a generic line.
- Save, then submit a real test through the form to confirm the email arrives with the right values filled in.
The same five steps apply to a WorkForms board — only the form that produces the item changes.
Sending to More Than One Recipient
The Send an email action is not limited to the respondent. Type additional addresses into the recipient field and press Enter after each one to notify a teammate at the same time, or route the confirmation to a shared inbox instead of an individual. This is useful when a form owner wants visibility into every submission without checking the board directly — pair it with the Analytics tab if you also want trend data rather than a running inbox.
What Belongs in the Confirmation Email
Keep the message specific rather than generic. Since the action pulls from column values, reference the fields that matter to the respondent:
- The submitted values themselves, so they have a record of what they sent.
- A reference or item name, if respondents might submit more than once.
- A next-step line — when to expect a reply, or a link back to an update form if they need to correct something.
Do not put anything time-sensitive or sequential in the automated copy (a status that changes later, for instance) since the email is a snapshot at submission time, not a live view of the item.
Frequently Asked Questions
Does FormFlow have a built-in confirmation email setting?
No. FormFlow’s settings cover the Thank You page and external redirects, but sending an email is handled by a monday.com board automation, the same as WorkForms.
Do I need a paid email account connected to send confirmations?
You need a Gmail or Outlook account connected to your monday.com account to use the Send an email action. Outlook connections specifically require a Microsoft 365 license for the person connecting it; Gmail does not carry that requirement.
Will this work if respondents submit through an update form instead of an insert form?
Yes. Trigger the automation on “When a form is submitted” rather than “When an item is created,” since update-form submissions modify an existing item instead of creating a new one.
Can the email include data the respondent didn’t just submit, like other columns on the item?
Yes. Column-value placeholders in the Send an email action are not limited to fields on the form — any column on the item can be referenced, which is useful for including an assigned rep’s name or a reference number generated elsewhere.
